Know Your Guest Count
Everything starts here. Your guest count determines how many bartenders you need, how much alcohol to buy, and how big your bar setup should be. Get this number locked in before anything else.
As a general rule, plan for one bartender per 50 guests for a smooth, line-free experience. Going above 75 guests per bartender and service will start to feel slow — especially during cocktail hour when everyone hits the bar at once.
Use the Drink Calculator
Estimating alcohol is one of the most common places couples over- or under-spend. The standard formula: plan for one drink per guest per hour. For a 5-hour reception with 100 guests, that's roughly 500 drinks total.
Split it by type: about 50% wine, 30% beer, 20% spirits — then adjust for your crowd. A younger crowd usually skews toward cocktails; an older crowd may prefer wine and beer.

Choose Your Signature Cocktail
A signature cocktail is one of the easiest ways to make your wedding feel personal. Name it after yourselves, tie it to where you met, or just pick your favorite drink and give it a clever name. It doesn't have to be complicated — it just has to be yours.
Keep it to one or two signatures max. More than that slows down service and adds complexity for your bar team. Simple, batched cocktails work best at scale.
Plan for Non-Alcoholic Options
This one gets overlooked more than anything else. At least 10–20% of your guests may not be drinking — whether for health, pregnancy, personal preference, or designated driving. Make sure they have something special too, not just water.
Mocktails, flavored sparkling waters, fresh-squeezed lemonade — small touches that go a long way. We always recommend having at least one non-alcoholic signature drink to match your cocktail menu.
Book Your Bar Team Early
The best bartenders book up fast — especially on Saturdays in spring and fall. If you have a date locked in, don't wait on staffing. Most couples come to us 3–6 months out, and peak weekends can fill even faster than that.
